We are hiring – Finance Officer


Pro Helvetia Cairo, the representation of the Swiss Arts Council in Egypt, is seeking to appoint a Finance Officer to start as soon as possible.

Provide financial services and supervision for the Pro Helvetia Cairo office operations and projects. The FO ensures that legislative requirements are met with regards to the bank procedures, tax authorities, monthly documentation, and other legal/official matters. The FO is also responsible of creating and keeping up an internal financial system and liaising with the head office in Zurich in terms of financial requests, budgets, and reports.

Detailed Job Description:

Internal Financial Structure
– Work closely with head and PMs on making sure all financial data is registered
– Meet weekly with head for updates and necessary reports: HR, operation, projects
– Create together with head all necessary financial templates for the workflow of the office
– Establish together with head a filing system of all financial documents and contracts
– Use the PH accounting software
– Budget and follow up on monthly expenses

1- Consistent and precise data entry of:
– Salaries/ Leaves/ Overtime
– Electronic payments
– Petty Cash
– Exchange rates
2 -Follow up bank accounts and bank statements / withdrawals and deposits / credit card/s

– Assist head and PMs in budgeting of operating costs, projects and HR when needed

Projects / Service providers
– Collecting and issuing invoices and receipts
– Payments for the projects: per diems; hotels; salaries, etc.
– Reporting on the project’s budget
– Monthly project sheets
– Monitor payments and reporting deadlines
– Evaluate and check project budgets, contracts and  reports

1- Internal
– Weekly overall reports (details above)
– Monthly reports
– Projects reports
– Auditing

2- External
– Quarterly and end of year reports to head office
– Request funds form head office
– Auditing if requested
– Other reports and/or financial sheets requested by head office

– Keep soft and hard copies of all transactions filed on a monthly basis.

– Making sure all contracts needed are available and correct

– Issuing payments to staff, services, and project related

Other tasks
– Find best offers for cleaning services, purchase of supplies, and maintenance and repair of equipment and supplies
– Review warehouse inventory list and PH assets every three months

Job requirements:
– Not less than three years of experience in a similar position
– Experience with accounting software programs
– Familiarity with accounting systems of non-profit organizations
– Highly organized and precise
– Ability to plan and work independently
– Very good communication skills
– Experience in producing budgets and reports is a must
– English & Arabic languages are a must. German is a strong asset
